1. ABOUT THESE TERMS

These terms apply to every retreat booked with Well Traveled Group LLC, a Texas limited liability company ("Well Traveled", "we", "us"). By paying a deposit or booking a Retreat, you ("the guest", "you") confirm you have read and accept them.

  • Retreat means any trip, escape or experience we sell, including accommodation, meals, training sessions and activities listed for that trip.

  • Total price means the total price of your selected retreat, as shown at checkout.

  • Guest means the person who is booking the retreat.

You must be 18 or older on the retreat start date to book or attend.

2. BOOKINGS, DEPOSITS, & PAYMENT

Your place is confirmed once we receive your deposit and send you a written booking confirmation by email.

  • Deposit: a non-refundable deposit of 25% of the retreat price is due at booking.

  • Balance: the remaining balance is due no later than 90 days before the retreat start date.

  • Late bookings: if you book within 90 days of the start date, the full retreat price is due at booking.

  • Payment plans: where we offer installments, each payment must be made on its due date. All installments must be complete 90 days before departure.

  • Missed payments: if the balance or an installment is not received by its due date and the automatic charge does not go through, we will send you an email reminder. If it is still unpaid 7 days after that reminder, we may cancel your booking and the cancellation charges in section 4 will apply.

A payment plan spreads out your payments; it does not reduce the Retreat Price or change the Cancellation Terms. If you cancel, the amount owed is set by the Cancellation Terms, not by how much you’ve already paid.

All prices are in US dollars. Card processing or currency conversion fees charged by your bank are your responsibility.

3.  WHAT'S INCLUDED

Each retreat page lists exactly what your price covers. Unless that page says otherwise:

Included: accommodation in your chosen room type, the meals listed in the itinerary, all scheduled training sessions, the group activities and excursions on the itinerary, and support from the Well Traveled team throughout the retreat.

Not included: international and domestic flights, airport transfers outside the stated pickup window, travel insurance, visas and vaccinations, alcohol, meals marked as free time, optional activities, spa or massage treatments, tips and personal spending.

Room types are subject to availability. If you book a shared room as a solo guest, we will pair you with another guest of the same gender.

4.  CANCELLATION POLICY

To cancel, the lead guest must email us; the cancellation takes effect on the day we receive it. Cancellation charges:

120+ days before Retreat start date: 25% of the total Retreat price, plus all processing fees

90-119 days before Retreat start date: 50% of the total Retreat price, plus all processing fees

89 days or fewer before Retreat start date: 100% of the total Retreat price

Now-show or leaving early: 100% of the total Retreat price

We strongly recommend travel insurance that covers cancellation (see section 7).

5.  CHANGING OR TRANSFERRING YOUR BOOKING

  • Moving to another retreat: with 90 or more days notice, you may move your booking once to another Well Traveled Group retreat within 12 months, subject to availability. A $150 change fee applies, plus any price difference.

  • Passing your place to someone else: you may transfer your place to another person (who fits the accommodation that has been booked) up to 30 days before the start date at no charge. They must accept these terms and complete our guest forms before the transfer is confirmed.

  • Upgrades and add-ons: room upgrades or added guests are subject to availability and payable at the time of the change.

Any change is only confirmed once we confirm it to you in writing.

6.  IF WE CHANGE OR CANCEL A RETREAT

We plan every retreat carefully, but occasionally we need to make changes.

  • Minor changes: we may adjust the itinerary, swap activities, change coaches or switch to accommodation of a similar standard when weather, safety or supplier issues require it. These changes do not entitle you to a refund.

  • Major changes: if we significantly change the destination, dates or accommodation standard before departure, you may accept the change or cancel for a full refund of what you have paid us.

  • Cancellation by us: if a Retreat does not reach its minimum group size, or we must cancel for another reason within our control, we will tell you at least 45 days before the start date where possible. You can choose a full refund or a credit toward another retreat.

Where a refund is due, we will process it within 14 of the confirmation.

We are not responsible for non-refundable flights, visas or other costs you have booked separately, so please wait for our confirmation that the retreat is going ahead before booking them.

7. TRAVEL INSURANCE, DOCUMENTS, & FLIGHTS

  • Insurance is required. Every guest must hold travel insurance covering medical treatment, emergency evacuation and repatriation, and the activities on the itinerary. We strongly recommend it also covers cancellation and travel delays. We may ask for your policy details before departure.

  • Passports and visas: you are responsible for a valid passport (usually with at least 6 months' validity), any visas, and any health or vaccination requirements for the destination and countries you pass through.

  •

  • Flights and arrival: you book your own flights. Please arrive within the arrival window on your retreat page. We are not responsible for missed sessions or extra costs caused by flight delays or cancellations.

8.  HEALTH, FITNESS, & DIETARY NEEDS

Our retreats include physical training and outdoor activities. Sessions can be scaled, but you should be in reasonable health to take part.

  • Health form: you must complete our guest health and waiver form before arrival, telling us about any injuries, medical conditions, pregnancy, allergies or medication that could affect your participation.

  • Medical advice: if you have any doubt about your fitness to take part, consult your doctor before booking. Our coaches are not medical professionals.

  • Your choice to take part: you can skip or modify any session at any time. Our team may also ask you to sit out an activity if they believe it is unsafe for you.

  • Assumption of risk: you understand that exercise, water activities, hiking and travel carry inherent risks of injury, and you take part voluntarily and at your own risk.

  • Dietary needs: tell us about allergies and dietary preferences at booking. We will do our best to cater for them, but we cannot guarantee any meal is completely free of allergens.

  • Emergency medical treatment: if you become ill or injured during a retreat and our team believes you need urgent medical care, you authorize us to arrange emergency treatment, transport or evacuation on your behalf. All costs are your responsibility, and we recommend claiming them through your travel insurance.

9.  OUR RESPONSIBILITY TO YOU

  • We will provide the retreat with reasonable skill and care.

  • Many services (hotels, villas, boats, transport, excursion operators) are provided by independent suppliers. We choose them carefully but are not liable for their acts or omissions, and their own terms may also apply.

  • We are not liable for loss, theft or damage to your belongings, or for illness or injury that is not caused by our negligence.

  • To the fullest extent permitted by law, our total liability for any claim relating to a booking is limited to the Retreat price you paid. We are not liable for indirect or consequential losses.

  • Nothing in these terms limits liability for gross negligence, willful misconduct, fraud, or other liability that cannot be limited by law.

10.  GUEST CONDUCT

Well Traveled Group is built on community, so we ask every guest to treat fellow guests, our team, suppliers and local people with respect.

  • Follow the reasonable instructions of our team, especially on safety.

  • Respect local laws, customs and the places we stay. Illegal drugs are not permitted.

  • Drink responsibly; alcohol is not included and should never affect training or other guests.

  • Harassment, discrimination, violence or abusive behavior will not be tolerated.

If your behavior puts others at risk or seriously disrupts the retreat, we may remove you without a refund. You will be responsible for any costs this causes, including travel home and damage to property.

All guests are responsible for all costs and claims caused by their own conduct.

11.  PHOTOS & VIDEO

We photograph and film our retreats to share the experience and promote future trips. By booking, you agree that images and video in which you appear may be used on our website, social media and marketing materials, without payment to you.

If you would prefer not to appear, tell our team at the start of the retreat and we will do our best to keep you out of published content. You can also ask us at any time to remove a published image of you, and we will do so where reasonably possible.

12.  EVENTS OUTSIDE OUR CONTROL

If an event outside of our control - natural disasters, extreme weather, pandemics, war, civil unrest, terrorism, government action or travel advisories, strikes or airline failures - forces us to cancel a retreat, we will offer a credit toward a future retreat or refund what we can recover from suppliers. Travel insurance is the best protection here.

If a guest canceled due to a weather advisory, the normal cancellation policy applies.

13.  COMPLAINTS

If something is not right during your retreat, please tell our team straight away so we can fix it on the spot. If it is still unresolved, email us within 30 days of the retreat ending and we will respond within 14 days.

14.  PRIVACY

We use your personal details, including health and dietary information, only to run your retreat and keep you safe. We share them with suppliers only where needed (for example, a hotel or chef) and never sell them. See our Privacy Policy for full details.

15.  GOVERNING LAW

These terms are governed by the laws of the State of Texas, USA. Any dispute will be handled by the state or federal courts located in Travis County, Texas.

We may update these terms from time to time. The version on our website when you book applies to your booking.

16.  CONTACT US
